The Rentals module allows you to manage SKU products, serials, returns, and payments seamlessly while keeping your inventory updated in real-time. Track pending pickups and returns, ensure accurate stock levels, and generate detailed invoices effortlessly.
1. Open WorkMate from Shopify Admin
Log in to your Shopify store and go to your Shopify Admin Dashboard.
Access WorkMate and navigate to the Rentals module.
2. Create a new rental order
Once in the Rentals module, click the + New Rental button.
3. Fill in the General section
You'll be redirected to the main page to create a rental.
In the general section, enter in the location of your rental.
Example: My Custom Location
Next, enter the name of your customer.
Example: Karine Ruby
4. Add a product or serial to rent.
In the products section, click the + New product or + New serial button.
Example: bike1 - Black
If you click into the product, a dialogue box will appear that allows you to enter the price of the item.
Additionally, you can enter in an Estimated pick-up time and Estimated return time.
If you enter a Pick-up time or Return time now, that will register in the Waiting for pick up or Waiting for return sections. Enter in these times if the customer is picking up or returning as you create this rental order.
Tip: Price per hour: If provided, the Total price is automatically set upon return of the rental.
Example: Price per hour = $10
Hours = 3
Total price rental = $30
Total price: If you entered a price per hour, this field will populate with the total price based on price per hour multiplied by the hours between pickup and return. Alternatively, if you have a set price for a rental product, you can enter that set price in this field and ignore the Price per hour rental field.
Example:
Total price rental = $50
Example: A set price of $50, Estimated pick-up time 1/16/2025, 10:00AM
After entering your necessary details, click Save.
After saving, the estimated pick-up time will register in the Waiting for pick up section.
Save your rental order.
5. Create payment for the rental
After saving your rental order, click the Create payment button in the Payments section.
This will create a draft order in Shopify.
You will be redirected to the Drafts section of Shopify where you can collect payment for the rental order.
If you return to your rental order, the Payments section will be updated with the draft order number and order number.
6. Pick up your rental product.
Once your customer comes to pick-up the product, you can click the Pick up button in the Waiting for pick up section.
After clicking Pick up, the status of your product will now say Picked up.
Alternatively, if your customer is already present to pick up the item while you are creating the rental order, you can enter the pick up time immediately when adding the product and entering the price in step 4.
Your Shopify inventory will be updated to reflect this change. The inventory will decrease by the quantity of rental products in the order.
7. Return the rental product.
After the product is picked up, the product will automatically populate in the Waiting for return section.
Once the product has been returned by the client, click the Return button.
After clicking the Return button, the status of the product will now say Returned.
After the product is returned, your Shopify inventory will be updated to reflect this change, restoring the quantity to its original amount.
