Overview of WorkMate Modules
Work Orders Module
Purpose: Used to create, manage, and track work orders for custom orders or services.
Key Features:
Create custom orders that include both products and labor components.
Ability to create B2B and B2C work orders.
Ability to add custom products, regular products, serialized items, and service items.
Add labor assignments, assign employees, and track the progress of each work order.
Add work order level, product level, and service level custom fields.
Status tracking for work orders (e.g., Draft, In Progress, Done, custom options).
Create tasks associated with the work order and schedule them to employees in the Schedule module.
Create Shopify draft orders from saved work orders.
View details such as Work Order number, Status, Payment Status, Fulfillment Status, Customer, Staff Member, SPO#, PO#, and the dates the work order was Created and Updated.
Purchase Orders Module
Purpose: Facilitates ordering inventory and supplies. The Purchase Orders Module helps businesses track orders placed with vendors for restocking purposes, or linking orders to customer work orders.
Key Features:
Create and manage purchase orders for vendor supplies.
Track vendor information using Shopify’s customer metafields (e.g., identifying customers as vendors).
Monitor purchase order statuses (e.g., Sent, Pending, Completed, custom options).
Differentiate between a Normal purchase order, and a Dropship purchase order which will not affect inventory quantities.
Ability to assign employees onto the purchase order.
Manage suppliers and the product variants they supply.
Create receipts to track what items have been received which will sync with your Shopify inventory.
Create tasks associated with the purchase order and schedule them to employees in the Schedule module.
Re-order products based on preconfigured re-ordering rules and current location quantities that you can configure on Shopify products.
Merge special orders with purchase orders to conveniently order them together.
View details such as Purchase Order, Status, Type, Location, Customer, Staff Member, SPO#, SO#, WO#, and the dates the purchase order was Created and Updated.
Special Orders Module
Purpose: Used to create, manage, and track special orders for custom or non-standard products that require unique sourcing or handling.
Special orders allow merchants to handle requests for products that are out of stock or not typically held in inventory. During the work order creation process, if a required item is unavailable, merchants can initiate a special order to source the component from a vendor. This ensures that the customer's order can be fulfilled even if the item is not currently in stock.
Key Features:
Create and manage special orders, including sourcing products from suppliers or fulfilling customer-specific requests.
Status tracking for special orders (e.g., Awaiting Vendor, In Production, Ready for Pickup, custom statuses).
Manage special order numbers with customizable formats to fit individual business processes.
Create special orders outside of WorkMate through online orders by using WorkMate's Create Special Order action.
View details such as Special Order, Order State, PO State, Location, Customer, Required By date, PO#, SO#, WO#, and the dates the order was Created and Updated.
Stock Transfers Module
Purpose: Create and track the progress of stock transfers to transfer stock between your various store locations. Creating a transfer order in WorkMate allows you to seamlessly move inventory between locations, manage stock levels, and track transfers all from within WorkMate.
Key Features:
Create incoming or outgoing transfers between store locations of your choice.
Completed stock transfers will be reflected in Shopify's product inventory.
Create tasks associated with the stock transfer and schedule them to employees in the Schedule module.
View details such as Transfer Order #, Status, and the locations the stock transfers came from and are going to.
Cycle Counts Module
Purpose: The purpose of a cycle count is to ensure inventory accuracy and maintain effective inventory management.
Key Features:
Import or scan products into your cycle count.
Once cycle counts have been applied, your Shopify inventory will also be updated.
Assign employees to the cycle count.
View the application history of your cycle count and see the changes of your cycle count products.
Create tasks associated with the cycle count and schedule them to employees in the Schedule module.
Rentals Module
Purpose: Streamline the rental process by managing SKUs, returns, and payments all within a single module.
Key Features:
Select specific SKUs or serial numbers to rent out, ensuring precise inventory tracking.
View what products are pending pick up and pending return from within each rental order created.
Automatically adjusted inventory levels when products are rented out and returned, providing real-time updates on stock availability.
Generate detailed rental invoices effortlessly for accurate billing and record-keeping.
Serials Module
Purpose: Helps merchants track individual products by assigning serial numbers, ensuring accurate inventory management from purchase to sale. The Serials module enhances product tracking, simplifies inventory management, and provides full visibility over serialized stock.
Key Features:
View and manage all serials through the Serials module for easy inventory control.
Create and assign serial numbers to individual products directly through the Serials module or Purchase Orders.
Track serialized stock from purchase to sale, providing complete visibility of each serialized item.
Filter your serials by product vendor, status, location, and more.
View the states of each serial (e.g., Available, Unavailable, or Sold).
View the history of your serial such as what purchase order or work order it is associated with.
Add location information and notes to serials for better tracking and organization.
View your serial's product inventory where you can view information such as the Reserved, Committed, Available, and On hand inventory.
Allocate serials to online orders by using WorkMate's Line Item Serial Numbers action.
Schedule Module
Purpose: The Schedules module simplifies availability management, task assignment, and event coordination, offering a centralized platform for efficient team scheduling and collaboration.
Key Features:
The ability for employees to set their availability.
Assign employees to the schedule.
Create and schedule events.
Assign tasks to a schedule.
Filter tasks by completed or not completed.
Filter schedules by only displaying certain employees at a time.
View schedules in Month, Week, or Day formats for tailored planning and event creation.
Service and Labour Module
Purpose: Manages services provided to customers and labor assignments within a work order. The Service and Labor Module is great for businesses offering services like repairs, installations, or any tasks requiring labor tracking.
Key Features:
Create and manage service items with fixed or dynamic pricing.
Assign employees to specific tasks or work orders.
Set up labor charges, including hourly rates or fixed fees.
Associate labor with specific products in Shopify Admin.
Notifications Module
Purpose: The notification feature enables merchants to update customers throughout the work order process by sending timely updates via email or SMS.
Key Features:
Set and update customers' notification preferences (Email, SMS, or No Preference).
Notifications are integrated into the work order process, allowing updates during stages like work order creation and status changes.
Allows merchants to view and manage the entire history of notifications.
Employees Module
Purpose: Manage pay rates for employees, including hourly rates and fixed labor charges. Control what actions employees can perform within the WorkMate system, helping store owners and managers delegate tasks while controlling access to sensitive information or restricted functions.
Key Features:
Assign individual hourly rates to employees.
Set default rates for different types of work (e.g., basic labor vs. specialized work).
Assign default locations to employees.
Assign specific roles to employees, where their assigned role determines their permissions and access levels within WorkMate.
Inventory Log Module
Purpose: View and control changes made by WorkMate to your Shopify inventory
Key Features:
View the Date to track when changes to your Shopify inventory occur.
View the Trigger to identify what initiated a specific action or event.
Track the store location of a product where changes occurred.
See the assigned Staff Member.
Check the Product Variant to distinguish between different product variants and serials.
Monitor the State (Available, Unavailable, and Sold) to understand the current status of an item.
Identify the changes in the Available, Incoming, and Reserved quantity of the product.
Settings Module
Purpose: Configures system-wide settings and preferences for the different modules.
The Settings Module allows centralized configuration for each module, allowing customization to fit your business needs.
Key Features:
Customize work order statuses, default settings, discount shortcuts, and more.
Adjust settings for purchase orders statuses, and displayed customer metafields.
Customize ID formats for stock transfers, cycle counts, and special orders.
Adjust scanner settings. The WorkMate scanner allows you to scan products using their barcodes, SKU, tags, or by product metafields.
Create custom roles that suit your business needs in the roles section. WorkMate uses a role-based system to restrict permissions. This page allows you to configure roles and their permissions.
Set up custom fields to capture additional data for work orders and purchase orders.
Enable or disable price overrides. WorkMate leverages Shopify Cart Transforms to allow you to dynamically change the price of products added to work orders.
Enable or disable franchise mode. Franchise mode allows you to restrict locations on a per-employee basis. Employees will only be able to interact with locations that they have access to.
Customize printing settings and print templates.
