Notifications

The notification feature enables merchants to update customers throughout the work order, or special order process by sending timely updates via email or SMS.

1. Access the Customers Module on Shopify Admin

  • Log in to your Shopify store and go to your Shopify Admin Dashboard.

  • Navigate to the Customers module in the left sidebar.

2. Add a Customer

  • In the upper navigation bar, click the Add customer button.

  • Fill in your customer information.

Example: Velen Lu

  • Click Save.

  • You should now be able to view your customer's information.

3. WorkMate Notification Preference

  • Scroll down to the WorkMate Notification Preference App block.

  • Here, you can select the customer's notification preference.

  • You can choose between No preference, Email, or SMS.

Example: SMS

  • Click Save after selecting your preferred notification type.

4. Create Notification Messages

  • Access the Settings module.

  • To create a Work Order Notification, access the Work orders section.

  • Click the New Notification button.

  • Firstly, select the Notification Type. You can configure between On create or On status change.

  • In the SMS and Email section, enter in your notification messages and a subject for the email.

Example:

  • After entering your details, click Save.

  • Then, save the settings page by clicking Save again.

  • To create Special order notifications, repeat the same process, but access the Special orders section instead.

5. Sending Notifications

Work Order Notifications

  • Click on the Work Orders module from the main dashboard or sidebar menu.

  • On the Work Orders page, click the New Work Order button.

  • After saving your work order, you will receive a pop-up message to send a notification to your customer.

Tip: If you set up notifications based on status changes, they will trigger according to the updates in your work order's status. Example: Changing your Work Order status to "In Progress" will trigger the option to send the "In Progress" notification.

  • Select a notification option.

  • You'll be prompted to choose between an email or SMS notification.

Example: Email

  • Click Send notification.

  • Once your notification has been successfully sent, you will receive a confirmation message.

Tip: You can also send notifications when there is no status change. Simply click the Notifications button in the top right-hand corner to manually send a notification.

Clicking this button will open up your notification history for that particular work order. To send another notification, click the Send notification button.

Special Order Notifications

  • To send notifications for Special orders, access the Special orders module instead and repeat the same process.

6. View your Order's Notification History

  • From your work order or special order, click on the Notifications button in the upper right-hand corner.

  • After clicking the Notifications button, you'll be able to view the notification history of that particular order.

Example: WO-#170 notifications

  • Additionally, you can click the Send Notification button to send another notification.

7. View your Entire WorkMate Notifications History

  • Click on the Notifications module from the sidebar menu.

  • In this module, you'll be able to view your entire notification history and see details such as your usage, the notification type, recipient, message, status, and sent date.
