The Net Capacity view shows how much unallocated time each employee has remaining. This powerful tool helps you identify employees with high availability, those nearing full capacity, and those who are severely overbooked.
1. Switch to the Net Capacity View
Click the Capacity view button at the top of the page.
Click Net capacity view to switch views.
2. Edit Net Capacity
Click the Edit button in the top-right corner.
Update each employee’s net capacity (in minutes per day).
You can increase an employee’s net capacity up to their maximum available minutes.
If the employee has no tasks assigned, you can increase their net capacity up to 1,440 minutes (a full day).
If the employee has assigned tasks, the maximum amount you can increase their net capacity will adjust automatically.
For example, if they have a 3-hour task (180 minutes), the maximum you can set their net capacity to would be 1,260 minutes (1,440 - 180).
Similarly, you can reduce an employee’s capacity down to 0 minutes unless they have tasks or events assigned that prevent full reduction.
When finished, click Save to confirm your changes or Discard to cancel.
3. Adjust the Warning Threshold
In the Net Capacity view, each cell will display a different colour based on the employee’s available capacity for that day:
Green: The employee has plenty of available time.
Orange: The employee is running low on available time.
Red: The employee has no available time or is overbooked.
You can customize when the colour changes by adjusting the warning and critical thresholds:
Click the View Options button.
Configure the warning threshold and critical threshold values:
The critical threshold will always be less than or equal to the warning threshold.
If the critical and warning thresholds are set to the same value, the orange (warning) colour will not appear; it will switch directly from green to red.
As you adjust the thresholds, the colours in the Net Capacity view will update instantly, allowing you to visually fine-tune capacity settings in real time.
